1. Who we are

The controller of your personal data is Mateusz Jedro. You can contact us at info@novadexb2b.com.

2. What data we collect

  • Registration: first and last name, company name, business email, VAT ID, country, your Facebook name or the link to your profile or page, your average monthly purchase volume, and any phone number or address you give us. Your password is stored only as a salted hash.
  • VAT check: for EU VAT IDs we send the VAT ID and country to the VIES service of the European Commission and store the result it returns.
  • Trading activity: offers, reservations, messages and invoices you exchange with other business users.
  • Technical data: a session cookie that keeps you signed in, and server logs with IP address, time and requested page, used for security.

3. Why we use your data and the legal basis

  • Creating and running your account, and checking your VAT ID: Article 6(1)(b) GDPR.
  • Offers, reservations and messages between you and the business users you trade with: Article 6(1)(b) GDPR.
  • Verifying the businesses that apply, using their Facebook name or link and their monthly purchase volume: Article 6(1)(f) GDPR, our legitimate interest in knowing who takes part in trades on the platform.
  • Keeping invoices and trade records for tax and accounting purposes: Article 6(1)(c) GDPR, a legal obligation.
  • Security and troubleshooting: Article 6(1)(f) GDPR.
  • Your consent to these terms, given at registration, is recorded with its version: Article 6(1)(a) and Article 7(1) GDPR.

We do not send marketing emails and we do not use your data for profiling.

4. Who receives your data

  • Other business users you make an offer or reservation with receive your company name, contact details, your Facebook name or link (used to confirm who they are trading with) and the messages you exchange.
  • Hosting provider: Contabo GmbH, Aschauer Str. 32a, 81541 Munich, Germany, with the server in France, which runs the platform and stores its data.
  • The VIES service of the European Commission, for VAT ID checks.
  • Public authorities, when the law requires it.

5. Transfers outside the EEA

We do not transfer personal data outside the European Economic Area. The platform, its database and its mail run on a server in France, and the VAT check uses the European Commission's VIES service.

6. How long we keep data

  • Rejected applications: 30 days after the application is rejected, after which it is deleted.
  • Accounts: while the account is active. When it is closed we delete the data, except where the law requires us to keep it.
  • Offers, reservations, messages and invoices: 5 years from the end of the calendar year in which the trade took place.
  • Server logs: 90 days.
  • Session cookie: until you sign out or the session expires.

7. Your rights

You have the right to access your data, to have it corrected or deleted, to restrict or object to its processing, and to receive it in a portable form. To use these rights, write to info@novadexb2b.com. You also have the right to complain to the supervisory authority: the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, Poland.

8. Automated decisions

We do not make decisions about your account automatically. A person reviews every application.

9. Cookies

We use only the cookies and browser storage the platform needs: the session cookie, your theme choice and a flag that hides the WhatsApp message after it has been shown. We do not use advertising or analytics cookies, so we do not ask for consent to them. You can delete them in your browser settings; without the session cookie you cannot stay signed in.

10. Changes to this policy

We update this policy when our practices change. For material changes we will tell you by email before they take effect.
